Overview of Recruitment Process
Regular Non-Exempt Staff
- Step 1: Request Recruitment
Hiring Department -
- Academic Affairs Only:
- Submits Academic Affairs Recruitment Approval Workflow for Provost approval
- All Hiring Departments:
- Submits position request (ZPPOSITION000) in IRIS for existing positions
- If creating new position or making changes to an existing position description, please submit a Classification Request Form
- Once position request is fully approved in IRIS, HR receives auto-notification to begin recruitment
- Academic Affairs Only:
- Step 2: Post and Recruit
HR Specialist -
- Sends draft job posting to hiring department for review and approval
- Upon finalization, posts position in Taleo
- After 10-day minimum posting period, releases all qualified candidates for search committee consideration
- Step 3: Application Review / Interviews
Search Committee -
- Reviews candidate pool utilizing application rubrics
- Identifies primary/secondary interview pools
- Conducts initial and final rounds of interviews
- Following final round of interviews, Search Committee Chair provides candidate evaluations with strengths/weaknesses and recommendations to Hiring Manager
- Step 4: Search Finalization
Hiring Manager -
- Hiring Manager (or designee) completes reference checks
- Hiring Manager determines successful candidate
- Academic Affairs Only: Department Head submits Staff Appointment Letter Request to Academic Affairs
- Step 5: Background Check / Offer Approval
HR Specialist -
- Submits job offer workflow in IRIS
- Notifies Hiring Manager of approval to extend verbal offer with background check contingency language
- Step 6: Extend Offer
Hiring Manager -
- Extends verbal offer with background check contingency language; and notifies HR of candidate acceptance and start date
- Hiring Manager, Search Committee Chair, or Search Assistant rejects unsuccessful candidates in Taleo
- Step 7: Appointment Letter / Hire
HR Specialist -
- HR sends new employee welcome e-mail with appointment letter and first day information regarding New Employee Orientation.
- Step 8: New Employee Onboarding
