Overview of Recruitment Process
Regular Exempt Staff
- Step 1: Request Recruitment
Hiring Department -
- Academic Affairs Only:
- Submits Academic Affairs Recruitment Approval Workflow for Provost approval
- All Hiring Departments:
- Submits position request (ZPPOSITION000) in IRIS for existing positions
- If creating new position or making changes to an existing position description, please submit a Classification Request Form
- Once position request is fully approved in IRIS, HR receives auto-notification to begin recruitment
- Academic Affairs Only:
- Step 2: Post and Recruit
HR Specialist -
- Sends draft job posting to hiring department for review and approval
- Upon finalization, posts position in Taleo
- After 10-day minimum posting period, releases all candidates for search committee consideration
- Step 3: Search Plan Discussion
EOA -
- Schedules meeting with search committee chair, hiring manager and search assistant to review search process and discuss recruitment strategy
- Verifies all search committee members have completed required training and grants search committee access to candidate pool in Taleo
- Creates shared Search Progress Folder in OneDrive and grants access to Hiring Manager, Search Committee Chair, and Search Assistant including:
- Search process overview
- Search resources and guides
- Search documentation templates (rubrics, evaluation tools, etc.)
- Search Progress Form
- Step 4: Application Review
Search Committee -
- Reviews candidate pool utilizing application rubrics
- Identifies primary/secondary interview pools
- Submits completed application rubrics (score sheets) for EOA review prior to scheduling interviews
- Step 5: Review of Search Documentation
EOA -
- Reviews completed application rubrics
- Updates Search Progress Form with primary/secondary candidate pools and candidate EEO summary data
- Step 6: Interviews
Search Committee -
- Search Committee conducts initial and final rounds of interviews
- Search Committee Chair identifies finalists on Search Progress Form
- Following final round of interviews, Search Committee Chair uploads candidate evaluations to Search Folder and notifies Department Head and EOA
- Step 7: Search Finalization
EOA / Hiring Manager -
- Hiring Manager (or designee) completes reference checks
- Hiring Manager determines successful candidate and completes Search Progress Form with selection decision for EOA review/approval
- Academic Affairs Only: Department Head submits Staff Appointment Letter Request to Academic Affairs
- Step 8: Background Check / Offer Approval
HR Specialist -
- Submits job offer workflow in IRIS
- Notifies Hiring Manager of approval to extend verbal offer with background check contingency language
- Step 9: Extend Offer
Hiring Manager -
- Extends verbal offer with background check contingency language; and notifies HR of candidate acceptance and start date
- Hiring Manager, Search Committee Chair, or Search Assistant rejects unsuccessful candidates in Taleo
- Step 10: Appointment Letter / Hire
HR Specialist -
- Sends new employee welcome e-mail with appointment letter and first day information regarding New Employee Orientation
- Step 11: New Employee Onboarding
Supervisor and New Employee
