Overview of Recruitment Process
Regular Faculty
Faculty recruitment and hiring is a collaborative and inclusive process that involves the Office of Human Resources (HR), the Office of Equal Opportunity and Accessibility (EOA), and the Faculty Records Office in Academic Affairs.
- Step 1: Request Recruitment
Department Head / Search Committee Chair / Search Assistant -
- Submits Academic Affairs Recruitment Approval Workflow for Provost approval
- Submits position request (ZPPOSITION000) in IRIS
- Submits draft job posting for EOA review and finalization
- Identifies search committee and completes Search Committee Training (required every 2 years)
- Step 2: Post and Recruit
EOA -
- Finalizes job posting and posts in Taleo
- Meets with Department Head, Search Committee Chair, and Search Assistant to review search process and discuss recruitment strategy
- Verifies that all search committee members have completed required training, and grants search committee access to candidate pool in Taleo
- Creates shared Search Folder in OneDrive and grants access to Department Head, Search Committee Chair, and Search Assistant including:
- Search process overview
- Search resources and guides
- Search documentation templates (rubrics, evaluation tools, etc.)
- Search Progress Form
- Step 3: Application Review
Search Committee -
- Reviews candidate pool utilizing application rubrics
- Search Committee Chair submits completed application rubrics for EOA review prior to scheduling interviews
- Step 4: Review of Search Documentation
EOA -
- Reviews completed application rubrics
- Updates Search Progress Form with Primary/Secondary candidate pools and candidate EEO summary data
- Step 5: Interviews
Search Committee -
- Search Committee conducts initial and final rounds of interviews
- Search Committee Chair identifies finalists on Search Progress Form
- Following final round of interviews, Search Committee Chair uploads candidate evaluations to Search Folder and notifies Department Head and EOA
- Step 6: Search Finalization
EOA / Department Head -
- Department Head (or designee) completes reference checks
- Department Head determines successful candidate and completes Search Progress Form with selection decision for EOA review/approval
- Department Head submits completed Search Progress Form for EOA review/approval
- Department Head submits Faculty Appointment Letter Request to Academic Affairs
- HR Specialist notifies Department Head of approval to extend verbal offer with background check contingency language
- Step 7: Extend Offer
Department Head -
- Extends verbal offer with background check contingency language; and notifies HR of candidate acceptance and start date
- Search Committee Chair or Search Assistant rejects unsuccessful candidates in Taleo
- Step 8: Appointment Letter / Hire
HR / Faculty Records -
- HR submits job offer workflow in IRIS
- HR receives faculty appointment letter with Provost signature from Faculty Records
- HR sends new faculty welcome e-mail with appointment letter and New Faculty - First Day Information
- HR coordinates completion of new hire paperwork and benefits orientation
- Closes search in Taleo
- Step 9: New Faculty Onboarding
