Chapter 3: Appointment, Evaluation, Promotion, Tenure, and Termination

Candidates for promotion or tenure supply dossier and folder to department RTP Committee. Department RTP Committee contacts external review candidates for willingness to review. | Use the UTC Tenure/Promotion Folder Checklist to ensure that all required materials are included. Remember that a minimum of two must be acquired. Check with college or department bylaws for process details and additional requirements. |

Department RTP Committee completes preliminary review and solicits additional information from candidate if desired. | The RTP Committee chair or a subset of the committee could complete this review. |

Final dossiers sent to external reviewers. Dean appoints college RTP Committee. |

EDO Calendar
Beginning of Evaluation Period | |
January
| Each faculty member will formulate objectives for the calendar year and share with their Head or Director. The Head or Director will provide feedback. After conversing, the faculty member and Head/Director should come to an agreement on appropriate objectives. The faculty member should record the objectives in the “Objectives” section of their profile in Digital Measures. Throughout the year, the faculty member should also record their activities in Digital Measures, including, as appropriate to appointment and rank: teaching or librarianship; research, scholarship, and/or creative activity; and professional service in all areas. |
March 31 Faculty Objectives | Faculty members should have stored their objectives in Digital Measures. |
August 31 New Faculty Log Objectives | New faculty must enter their yearly objectives during the month of August. Faculty who originally logged their objectives earlier in the year may edit their objectives during this time with permission from their department head. |
October Final Faculty Objectives | The EDO workflow itself opens and faculty members objectives from the “Objectives” section of their profile will be included in the form. Once complete, submitting their step of the workflow sends it along to the Head/Director for confirmation |
November Head/Director Affirmation | The Head/Director has this time to review the finalized version of the “Objectives”, and they may affirm that they are the ones agreed upon in writing earlier in the year. The workflow now waits for the faculty report, due by the end of the year. |
December 31 Faculty Report | Faculty members should have entered all their activity into Digital Measures for the year. Within the EDO workflow, a faculty member can generate the required report – which pulls data automatically from Digital Measures – and then review it before they submit to the Head/Director for evaluation. |
End of Evaluation Period | |
January Evaluation by Head/Director | The Department Heads and School Directors will evaluate the reports submitted by the faculty member using the standards in the UTC Faculty Handbook along with college and departmental bylaws. One of the standard ratings will be assigned: Exceeds Expectations for Rank, Meets Expectations for Rank, Needs Improvement for Rank, and Unsatisfactory for Rank After evaluation, the faculty member is provided an opportunity to review and sign their evaluation. This overlaps with the time for setting objectives for a new year, and so is an idea moment for further conversation about future objectives. |
February Review by Dean | College deans will review the evaluation submitted by the Head/Director for each faculty member. At their discretion, they may amend the evaluation. |
March Review by Provost | The Provost will review the evaluation reviewed by the Dean for each faculty member. At their discretion, they may amend the evaluation. |
