Conference Registration Support
Has your research abstract been accepted for presentation at a regional or national conference? Congratulations! You may be eligible for Office for URaCE support to cover the cost of the conference registration fee.
About URaCE Conference Support
- No funds will be distributed directly to the student. The fee will be paid to conference organizers by the Office for URaCE.
- Reimbursements are NOT allowable for conference registration fees.
- This support does not cover association membership costs. Students who receive this support must pay membership fees before the conference registration fee is paid.
NOTE: This support assists with the conference registration fee ONLY. Students should contact their college/ department for additional assistance related to conference presentation such as airfare, car rental, poster printing, hotel, meals, and other related expenses.
- How Support is Distributed
- The Office for URaCE will arrange payment of the conference fee on behalf of the student. Note that the maximum amount covered for the registration fee is $250.00. No funds will be distributed directly to the student.
Note: Reimbursements are NOT allowable for conference registration.
NOTE: This support DOES NOT cover registration fees for the National Conference on Undergraduate Research (NCUR). If you are seeking registration support for NCUR please contact the office.
- When to Apply
As soon as the conference acceptance is received, and no later than 60 days prior to the conference date. Funds are VERY limited and distributed on a first-come, first-served basis.
- Who Can Apply?
- Currently enrolled, full-time undergraduate students in good academic and judicial standing who have been accepted to present their research at a regional or national conference.* (A copy of the conference acceptance must be submitted with the application).
- To receive this support, student applicant must be listed as the first author on the submitted/accepted abstract OR listed as the co-author if the faculty mentor is listed as the primary author.
- Eligibility
Students seeking this support must meet all eligibility requirements listed below.
- Student must be a currently enrolled, full-time, degree-seeking undergraduate student in good academic and judicial standing with an active UTC email address and student ID# at time of application and presentation.
- Student must be working on the research under the direction of a UTC faculty mentor.
- Student must submit conference support award application at least 60 days prior to the conference.
- Student must have a graduation date that falls after the conference date.
*Students may receive conference presentation support once per academic year.
*Funds are not available to support multiple students presenting the same project.
*Due to limited available funds, conference support is only available for conferences taking place during the fall and spring semesters.
- Support Terms and Conditions
Students who receive conference presentation support must submit the following items to the Office for URaCE one week after the conference:
- Conference Photograph - A high-quality photograph of awardee standing next to their poster OR standing at the podium (for oral presentations). The Office for URaCE will share presentation photos on the Office for URaCE website.
- Copy of the Presentation File - Poster file, oral presentation slide deck, paper, etc. Presentation files will be archived and available for viewing and download in UTC Scholar, a UTC Library repository for academic works.
- Copy of the Official Conference Program - Program must include the awardee's full name, project title, and presentation date.
Awardees are also required to present the research project at the annual UTC Spring Research and Arts Conference in April.

- How to Apply
Required Application Materials
Applicants must upload the following two documents with the electronic application:
- A copy of the official presentation acceptance notification. This is typically an e-mail from the conference coordinators. The acceptance must include the project title and student's name listed as the primary author (or listed as the co-author if the faculty mentor is listed as the primary author). Acceptable file formats: pdf or jpeg. Screenshot images are NOT acceptable.
- A copy of the abstract submitted to the conference . Acceptable file formats: pdf or Word.
