Application and Review Process
If you will be sponsoring a visiting researcher and have reviewed the decision tree and confirmed that the Policy on Visitors Engaged in Research applies, please work with the visitor to complete the Visitor Information Packet. The visitor should sign both the Agreement for a Visitor Engaged in Research (pages 2-4 in the PDF) and the UT System Intellectual Property Agreement (pages 5-6 in the PDF). All visitors must include a copy of their CV or résumé with their application.
International visitors must also include a copy of their passport information page(s) and any documentation they have obtained that is required as part of the J-1 visa application process. The U.S. Department of State provides information on J-1 visa basics and specific J-1 visa programs. Most visiting researchers who are not U.S. citizens or lawful permanent residents will apply as short-term scholars (if their visit will be for 6 months or less) or research scholars. Once the visitor has completed the Visitor Information Packet, please e-mail the application packet and supporting documentation to the Director of the Office of Research Integrity, Cheryl Murphy, at [email protected]. All international visitor applications should be sent through the UT Vault secure file transfer service to help ensure that the visitor’s passport information is kept confidential.
When a complete application is received, it will be reviewed by UTC’s Office of Research Integrity (ORI) and Office of Research and Sponsored Programs (ORSP). UTC’s Office of International Student and Scholar Services (ISSS) will work with international visitors to assist them in obtaining the appropriate visa. Any concerns that may be identified by ORI/ORSP/ISSS will be communicated to the UTC sponsor and his/her department head. When the application proceeds to the next step in the review process, a background check will be conducted. If no concerns arise at this stage, the application will be routed for approval by the persons noted in the Visitor Application Packet.
Please allow a minimum of 30 days for processing of applications for visitors who are U.S. citizens. Allow 45-90 days for processing of applications for lawful permanent residents (green card holders) and other non-U.S citizens.
