Meeting Room Catering Policy
The UTC Library welcomes University partners to reserve meeting rooms for events, including those that involve catering. While Aramark is an approved on-campus caterer with established access to the library, outside caterers are permitted under the following guidelines:
- Event Start Times
- The library normally opens at 7:45 a.m. Monday through Friday and 12:00 p.m. on weekends, but hours may vary.
- If your event begins at the time the library opens, additional setup time cannot be provided. The library will not open early for setup.
- Setup and Cleanup Responsibilities
- Library personnel will not assist with event setup or cleanup.
- Rooms must be left clean and ready for use for the next event. The library will not remain open past closing time to allow for cleanup.
- Responsibility for Cleanup
- If a caterer does not complete the cleanup, the event organizer is responsible for ensuring the room is returned to its original condition.
- Outside caterers cannot be given access to library rooms. The event organizer must accompany them.
- Loading Dock Access
- Caterers may access the loading dock only if the Library Administrative Office is available to open it.
- The event organizer must be present when the caterer arrives.
- Library administrative staff will only provide dock access; they will not assist in transporting or setting up catering items.
- Other Library staff cannot provide loading dock access, as they are assigned to public service desks and cannot leave those posts.
- After-Hours Events
- If an event is approved to occur outside regular Library hours and requires early opening or late closing, an additional fee will be charged to cover personnel costs.
