Room Policies and Details

Reservation Policies

  • Rooms can be reserved by UTC faculty, staff, and students only.
  • The UTC ID used to make the reservation is the card needed for swipe access to the room during the reservation time.
  • To ensure UTC ID access, study rooms must be booked 10 minutes in advance and meeting rooms must be booked 24 hours in advance.

Room Guidelines

Chat with us or text (423) 521-0564 for help with technology, research, and more. The event host is responsible for adhering to library and campus guidelines for room use.

  • Do not exceed maximum occupancy communicated by the library.
  • Library staff reserve the right to enter rooms at any time.
  • Leave at the end of your reservation time.
  • Markers available at the cleaning stations on each floor. Take a “clean” marker and leave it in the “used” bin when done.
  • Failure to comply with guidelines may result in the suspension of room reservation privileges.

Keep the Room Clean

  • Wipe down furniture and door handles when entering.
  • Cleaning supplies and markers are available at stations throughout the floor.
  • Limit movement in or out of your reserved room.
  • Clean up any drinks in the room.

Be Courteous

  • Leave furniture placement as you found it.
  • Do not move furniture in or out of the room.
  • Practice social distancing during use of the room.

When You Leave

  • Turn off all technology (like monitors).
  • Take everything with you. The library is not responsible for unattended personal items.
  • Wipe down furniture and door handles as you exit.

Failure to comply with guidelines may result in the suspension of room reservation privileges.

  • Clean markers available at cleaning stations located near all study rooms. Used markers can be deposited at the same station at the end of your reservation.

Guidelines for Study Room Use:

  • Small rooms can be reserved online (UTCID and password required).
  • Reservations will be available in 3-hour blocks to allow for cleaning between each use. Patrons are asked to use at least half of that block where possible to avoid rooms remaining unnecessarily empty when they may be needed by other patrons.
  • Reserving a room and then not using the space prevents other patrons from accessing an available room. Swipe access will be monitored regularly, and failure to use your reserved room may result in the suspension of reservation privileges.
  • To ensure access to study rooms for as many of our patrons as possible, you can book a study room only once per week. If demand remains substantially higher than availability, regular use of space week after week may result in Library staff temporarily suspending reservation privileges.

  • Video conferencing available
  • Most have conference style seating

Guidelines for Meeting Room Requests:

  • Please reserve early. Requests are processed Monday-Friday between 8-5. Any requests received before 3 pm will be reviewed the same day. Requests received after 3 pm will be reviewed by 10 am the following business day. We require 24 hours notice to provide MocsCard swipe access to your reserved meeting room.
  • Reserved via an online request form.
  • The reservations will be for up to 3 hour blocks based on the time of day and room zone to allow for cleaning between uses. Longer reservations will be considered on a case by case basis.
  • To help ensure access to meeting rooms for as many of our patrons as possible, you can book a room for use only once per week. More frequent use will be considered on a case by case basis.
  • Meeting rooms are not intended for regularly scheduled classes or semester long bookings.
  • Rooms have various technology including projectors, LCDs and media hubs. Please include your technology needs on the request form in order to insure you are booked in a room that fulfills your needs.
