College of Business Internal Event Assistance

The below documents and timelines are for College of Business faculty and staff use only. The information and forms listed below will be used as standard practice for processing event planning requests, marketing materials, and social media/communications requests.

Please see items listed below for an additional explanation of event types, suggested planning timelines, and other general suggestions. Please note that if alcohol will be served at any part of your event, a Request for Use of Alcohol Form is required.

 

Event Categories & Suggested Planning Timelines

 

Event Description: Event requires multiple rooms, off-campus guests, food and drinks, AV equipment, speaker accommodations, ticketing, registration, etc.

Planning Required: 6-8 months planning period

Event Description: Event requires multiple rooms, off-campus guests, food and drinks, AV equipment, speaker accommodations, ticketing, registration, etc.

Planning Required: 4-6 months planning period

Event Description: Requires reserved room, food and drinks, AV equipment, etc.

Planning Required: 1-3 months planning period. Please note: If event is being scheduled during peak times (end of each semester) or off-campus, a 3 month planning period is suggested. If you plan to have alcohol at your event, an additional form is required.

Event Description: Requires reserved room, specific room set up for tables, food and drinks, AV equipment, registration, etc.

Planning Required: 2-4 months planning period. Please note: If event is being scheduled during peak times (end of each semester) or off-campus, a 4 month planning period is suggested. If you plan to have alcohol at your event, an additional form is required.

Event Description: Requires reserved room, AV equipment, speaker accommodations, registration, etc.

Planning Required: 1-2 months planning period

Event Description: Requires reserved room, food and drink, registration, etc.

Planning Required: 1-2 month planning period. Please note: If event is being scheduled during peak times (end of each semester) or off-campus, a 2 month planning period is suggested. If you plan to have alcohol at your event, an additional form is required.

Event Description: Requires reserved room, specific room set up for tables, food and drink, registration, etc.

Planning Required: 1-2 month planning period

Event Description: Requires notification to the Development Office, food and drink, registration, off-campus guests, VIP parking arrangements, etc.

Planning Required: 2-4 month planning period. Please note: If event is being scheduled during peak times (end of each semester) or off-campus, a 4 month planning period is suggested. If you plan to have alcohol at your event, an additional form is required.


 Frequently Asked Questions

Once an event request form is submitted and approved, it is best to schedule an initial planning meeting between the Point of Contact and the Event Planning Staff to discuss the upcoming planning process. 

Events that require payment for attendance must be managed through the Center for Professional Education.

Will you require a speaker to give the Welcoming Remarks? it is recommended to book a person for this task 6 months in advance. If you would like to book Chancellor Angle to give the Welcoming Remarks, you must submit the Chancellor's Event Request Form at least 4 months in advance.
