Annual Leave

View the Human Resources Policy for Annual Leave.

Annual leave provides regular staff and 12-month faculty with paid time away from work. Annual leave may not be taken until accrued. Leave must be approved in advance by the supervisor. Employees accrue annual leave on a monthly basis on the first day of each month. Regular employees accrue annual leave based upon percent of effort:

   1 - 25% effort:   25% of the full-time accrual
 26 - 50% effort:   50% of the full-time accrual
 51 - 75% effort:   75% of the full-time accrual
76 - 100% effort: 100% of the full-time accrual

Regular exempt staff (100%) earn 16 hours of annual leave a month. A maximum of 336 hours may be carried forward from one calendar year to the next year. Hours in excess of the maximum will be transferred to sick leave at the end of the calendar year.

Regular non-exempt staff (100%) earn annual leave based upon years of service. Hours in excess of maximum will be transferred to sick leave at the end of the calendar year.

  • Years 1 through 5:
8 hours/month; maximum of 240 hours may be carried forward from one calendar year to the next.
  • Years 6 through 10:
12 hours/month; maximum of 288 hours may be carried forward from one calendar year to the next.
  • Years 11 through 20:
14 hours/month; maximum of 312 hours may be carried forward from one calendar year to the next.
  • More than 20 years:
16 hours/month; maximum of 336 hours may be carried forward from one calendar year to the next.

Annual Leave Deferral
Effective immediately, employees separating from service may elect to make a tax deferred contribution from their unused annual leave payout instead of receiving a lump sum payment. They may contribute up to 100 % of the annual leave payout (minus Social Security and Medicare taxes), within the annual IRS limits on elective deferrals based on the age/service of the employee and the calendar year in which the contribution is to be made. Contact Kathy Taylor for information. (Posted 6/12/09)
